Website Visitors & WizeHive Prospects

We collect and store certain personal information if you visit our website or otherwise contact us to express an interest in WizeHive or its Services. As you navigate WizeHive’s websites, we may also collect information through common information-gathering tools, such as cookies and web beacons.

Cookies are small bits of data we store on the device. Cookies do not personally identify you; they merely recognize your Web browser. Unless you choose to identify yourself to WizeHive, either by responding to a promotional offer, opening an account, or filling out a Web form, you remain anonymous to WizeHive. Some cookies that we use last only during one session; they disappear from your computer when you close your browser or turn off your computer. We also use some persistent cookies, ones that remain on your computer after you close your browser or turn off your computer.

Web beacons are clear electronic images that can recognize certain types of information on your computer, such as cookies, when you view a particular website or Service tied to the web beacon.

Online Tracking. We currently do not process or comply with any web browser’s “do not track” (DNT) signal or other similar mechanism that indicates a request to disable online tracking of individuals who visit our websites or use our Services, in part, because no common industry standard for DNT has been adopted by industry groups, technology companies or regulators.

1. What information do we collect?

Information we collect directly from you

  • Applications; forms; chat. When you express an interest in obtaining additional information about WizeHive or its Services, WizeHive may ask you to provide personal contact information, such as name, company name, address, phone number, and email address, and also seek additional information about the nature of your organization and intended use of our Services. We may request this information by asking you to fill out a form or application, or by engaging in online chat, a video conference, a phone conversation or other means. Visitors who are applying for a job at WizeHive may be required to complete an application seeking similar contact information, along with educational and employment history and a resume.

Information we collect about you from other sources

  • Usage data. Like most web sites, we collect - through third party services we use to manage our sites - usage data about you when you interact with our website. These services allow us to record each time a device accesses our servers, data about the nature of each access, including originating IP addresses, internet service providers, the files viewed on our site, operating system versions and timestamps.

  • Device data. We collect data from the device and application you use to access our website, such as your IP address, operating system version, device type, system and performance information, and browser type. We may also infer your geographic location and the organization you are associated with based on your IP address.

  • Referral data. If you arrive at our website from an external source (such as a link on another website or in an email), we record information about the source that referred you to us.

  • Information from third parties. We may collect your personal information or data from third parties if you gave permission to those third parties to share your information with us.

  • Information from cookies and web beacons. We use third party tracking services that employ cookies and web beacons to collect aggregated and anonymized data about visitors to our websites. This data includes usage and user statistics. Emails sent by us may include web beacons that notify us when you open those emails and click on links in them. We do this to to measure the performance of our email messaging and to learn how to improve email deliverability and open rates. WizeHive also uses web beacons to generate targeted ads on third party sites like Facebook and LinkedIn to users who have visited our website and later visit these third party sites.

2. How does WizeHive use the information we collect?

  • To improve our Services. We use cookies to measure usage of our websites and track referral data, as well as occasionally to display different versions of content to you.

  • To market to you and personalize that marketing content. We will use the information we collect to determine which of our Services may be most appropriate for you and to market those Services to you. We, or our service providers, may place cookies and/or web beacons when you visit our website and other websites or when you open emails that we send you, in order to provide you with more tailored marketing content, and to evaluate whether this content is useful or effective. For instance, we may evaluate which ads are clicked on most often, and whether those clicks lead users to make better use of our tools, features and Services. If you don’t want to receive ads that are tailored to you based on your anonymous online activity, you may “opt out” of many of the companies that are involved in such tailoring by going to http://optout.aboutads.info/?c=2#!/. Opting out in this way does not mean you will not receive any ads; it just means that you will not receive tailored ads from those companies.

We don’t believe cookies are sinister, but you can still choose to remove or disable cookies via your browser. Refer to your web browser’s configuration documentation to learn how to do this. Please note that doing this may adversely impact your ability to use our Services. Enabling cookies ensures a smoother experience when using our websites. By using our websites and agreeing to this privacy policy, you expressly consent to the use of cookies as described in this policy.

  • Blogs and Forums. Our websites may offer publicly accessible blogs and community forums. You should be aware that any information you provide in these areas may be read, collected, and used by others who access them. We’re not responsible for any personal information you choose to submit in these areas of our site. To request removal of your personal information from our blog or community forum, contact privacy@wizehive.com. In some cases, we may not be able to fulfill your request and we will let you know why.

  • Online Tracking. We currently do not process or comply with any web browser’s “do not track” (DNT) signal or other similar mechanism that indicates a request to disable online tracking of individual users who visit our websites or use our Services, in part, because no common industry standard for DNT has been adopted by industry groups, technology companies or regulators.

3. With whom do we share or disclose your information?

We use third party partners, including customer relationship management systems and outbound marketing campaign providers in our marketing and customer management efforts. A current list of third party providers can be found here. We also may ask advertising networks and exchanges to display ads promoting our Services on other websites based on the presence of a cookie and/or web beacon. We will not sell, rent or otherwise share any of your personal information with third parties for their own promotional efforts. Our advertising network partners may use cookies and page tags or web beacons to collect certain non-personal information about your activities on this and other websites to provide you with targeted advertising based upon your interests.   If you do not wish to have this information used to produce targeted ads, you may opt-out at http://optout.aboutads.info/?c=2#!/  or, if you are based in the European Union, at http://www.youronlinechoices.eu. You will continue to receive generic ads.

4. What are your rights to your information?

You can:

  • Update your personal information. You can contact privacy@wizehive.com to update any data that we may have about you in our customer relationship management system and other systems.

  • Access and correct your personal information. Some account holders and other individuals have certain legal rights to obtain information of whether we hold personal information about them, to access personal information we hold about them, and to obtain its correction, update, amendment or deletion in appropriate circumstances. Requests to exercise these rights may be directed to privacy@wizehive.com. These rights are subject to some exceptions, such as where giving you access would have an unreasonable impact on the privacy of other individuals. We will respond to your request to exercise these rights within a reasonable time and, where required by law or where we deem it otherwise appropriate and practicable to do so, we will honor your request.

  • Delete your data. You can contact contact privacy@wizehive.com to request the deletion of any data that we may have about your in our customer relationship management system and other systems.

5. Security, cookies and other important information

  • Security. Details about WizeHive’s security practices are available in our Security Statement. We are committed to handling your personal information and data with integrity and care. However, regardless of the security protections and precautions we undertake, there is always a risk that your personal data may be viewed and used by unauthorized third parties as a result of collecting and transmitting your data through the Internet. If you have any questions about the security of your personal information, contact support@wizehive.com.

  • Data locations. Our servers and those of our service providers are currently distributed, so your personal information will be hosted in various locations.

  • Cookies. We and our partners use cookies and similar technologies on our websites. Cookies are small bits of data we store on the device you use to access our Services so we can recognize repeat users. Each cookie expires after a certain period of time, depending on what we use it for. We use cookies and similar technologies primarily to improve our Services. We use cookies to measure your usage of our websites and track referral data, as well as occasionally to display different versions of content to you. This information helps us to develop and improve our Services and optimize the content we display to users.

  • Safety of Children and COPPA. Our Services are not intended for and may not permissibly be used by individuals under the age of 13. WizeHive does not knowingly collect personal data from persons under 13 or allow them to register. If it comes to our attention that we have collected personal data from such a person, we may delete this information without notice. If you have reason to believe that this has occurred, please contact privacy@wizehive.com.

6. Additional information for European Union users

“Personal data”. For users located in the EU, references to “personal information” in this policy are equivalent to what is commonly referred to as “personal data” in the EU.

About IP addresses. Our servers record the incoming IP addresses of visitors to our websites (whether or not the visitor has a WizeHive  account) and store the IP addresses in log files. We use these log files for purposes such as system administration and maintenance, record keeping, tracking referring websites, inferring your location, and security purposes (e.g. controlling abuse, spam and DDOS attacks). We also store IP addresses along with certain actions you take on our system. By agreeing to this privacy policy, you expressly consent to WizeHive using your IP address for the foregoing purposes.

Data controller. WizeHive, whose contact information is listed above, is the data controller for registration, billing and other personal information that we collect from Website Visitors and WizeHive Prospects in the EU.

Program Managers

WizeHive’s Zengine and Select platforms are used to manage application programs and other business processes as well as to manage databases of contacts and other information. We refer to all of these programs, business processes and database uses as “Programs” and the related information and data collected through the applications and other forms and contact data bases as “Program Data”.

Two types of users access our platforms: (1) “Program Managers” - individuals and organizations who create, administer and manage Programs; and  (2) Program Participants - individuals and organizations who submit applications to those Programs, review information submitted, or otherwise participate in those Programs.  Because, the type of information we receive from Program Managers and Program Participants and how we handle that information differs, this section of our privacy policy is written in two parts: “Privacy Policy for Program Managers” and “Privacy Policy for Program Participants”.  Within each of these sections, we further break out information about our two main platforms: Zengine and Select.

WizeHive offers two products. If you access the system by going to:
app.wizehive.com platform.zenginehq.com
then proceed to:
Select's Program Manager policy » Zengine's Program Manager policy »

Zengine Platform

If you manage a program:

  • Your Program Data is owned by you.  WizeHive acts as a processor or custodian of this data. We don’t sell email addresses or any other Program Data. We access Program Data only as needed in connection with the Services we provide. We treat all personal information you or your Program Participants enter into the platform as private and don’t use this information for purposes unrelated to you or our Services, except in certain limited circumstances explained below, or if you have given us express permission to do so.

  • We hold your data securely. Read our Security Statement for more information.

  • Program data is stored on secure servers located in the United States.

1. What information do we collect?

When you visit our websites, we may collect information from you - see the Section Website Visitors and WizeHive Prospects, above.

When you use our Services, we may collect information relating to you and your use of our Services from a variety of sources. These are listed below.  Later sections describe what we do with this information.

Information we collect directly from you

  • Registration information. When you register for an account, we collect your username, password and email address.

  • Billing information. We require you to provide your billing details, such as a name, address, email address and financial information relating to your selected method of payment (e.g. a credit card number and expiration date or a bank account number).

  • Account settings. You can set various preferences, settings and permissions on your Account Settings page. For example, your timezone and date format preferences.

  • Other data you intentionally share. We may collect your personal information or data if you submit it to us in other contexts - for example, if you provide us with a testimonial or participate in a case study.

Information we collect about you indirectly or passively when you interact with us

  • Usage data. We collect usage data about you when you interact with our Services. Like most websites today, our web servers also keep log files that record data each time a device accesses those servers. The log files contain data about the nature of each access, including originating IP addresses, internet service providers, the files viewed, operating system versions and timestamps.

  • Device data. We collect data from the device and application you use to access our Services, such as your IP address, operating system version, device type, system and performance information and browser type. We may also infer your geographic location based on your IP address.

2. How does WizeHive use the information we collect?

Generally, we use the information we collect from you in connection with providing our Services to you and, on your behalf, to your Program Participants. Specific ways we use this information are listed below.

  • To provide you with our Services.

    • This includes providing you with Implementation and customer support, such as platform configuration, application form design and technical troubleshooting.

    • Certain features of our Services may use Program Data and your account information in aggregated form and stripped of identifying information. We may then report statistics about the aggregated (and de-identified) data to you and other Program Managers.

    • If you choose to link your WizeHive account to a third party account (such as your Google account), we may use the information you allow us to collect from those third parties to provide you with additional features, services and personalized content.

    • In order to provide you with useful options to use the Services together with other applications, we may enable the export of information to, and collection of information from, third party applications and websites, including platforms such as Salesforce, Zapier, Webmerge  and social networking sites such as Facebook. When exporting and collecting such information, you may be disclosing your information to the individuals or organizations responsible for operating and maintaining such third party applications and sites, and your information may be accessible by others visiting or using those applications or sites. We do not own or operate these third party applications or websites that you connect with. You should review the privacy policies and statements of these other websites to ensure you are comfortable with the ways in which they use the information you share with them.

  • To manage our Services. We internally use your information, including certain Program Data, for the following limited purposes:

    • To monitor, maintain and improve our Services. We internally perform statistical and other analyses on information we collect (including usage data, device data, referral data  and information from page tags) to analyze and measure user behavior and trends, to understand how people use our Services, and to monitor, troubleshoot and improve our Services, including to help us evaluate or design new features. We may use your information for internal purposes designed to keep our Services secure and operational, such as for troubleshooting and testing purposes, and for service improvement, marketing, research and development purposes.

    • To enforce our Terms of Service.

    • To prevent potentially illegal activities.

    • To screen for and prevent undesirable or abusive activity. For example, we have automated systems that screen content for phishing activities, spam and fraud.

    • To create new services, features or content. We may use your data and metadata (that is, data about the characteristics of an application) for our internal purposes to create and provide new Services, features or content. In relation to metadata, we may look at statistics like response rates, question and answer word counts, and the average number of questions in an application and publish observations about these for informational or marketing purposes. When we do this, neither individual Program Managers nor Program Participants will be identified or identifiable unless we have obtained their permission.

  • To facilitate account creation and the logon process. If you choose to link your WizeHive account to a third party account, we use the information you allowed us to collect from those third parties to facilitate the account creation and login process.

  • To contact you about your Service or account. We occasionally send you communications of a transactional nature (e.g. service-related announcements, billing-related matters, changes to our services or policies, a welcome email when you first register).  You cannot opt out of these communications since they are required to provide our Services to you.

  • To contact you for marketing purposes. You may opt out of these communications at any time by clicking on the “unsubscribe” link in them.

  • To respond to legal requests and prevent harm. If we receive a subpoena or other legal request, we may need to inspect the data we hold to determine how to respond.

3. With whom do we share or disclose your information?

We recognize that you have entrusted us with safeguarding the privacy of your information. Because that trust is very important to us, we will only disclose or share your personal information or other Program Data in limited circumstances as set out below:

We may disclose:

  • Your information to our service providers. We use service providers who help us to provide you with our Services. We give relevant persons working for some of these providers access to your information, but only to the extent necessary for them to perform their services for us. We also implement reasonable contract and technical protections to ensure the confidentiality of your personal information and Program Data is maintained, used only for the provision of their services to us, and handled in accordance with this privacy policy. Examples of service providers include payment processors, hosting services, email service providers and web traffic analytics tools. We will provide you with the specific list of service providers used with respect to your account upon your request. See Contacting WizeHive, above.

  • Your account details to your billing contact. If your details (as the account holder) differ from the billing contact listed for your account, we may disclose your identity and account details to the billing contact upon their request. By using our services and agreeing to this privacy policy, you consent to this disclosure.

  • Your email address to your organization. If the email address under which you’ve registered your account belongs to or is controlled by an organization, we may disclose that email address to that organization in order to help it understand who associated with that organization uses our Services, and to assist the organization with its enterprise accounts. (Please do not use a work email address for our Services unless you are authorized to do so and agree to this disclosure.)

  • Aggregated or de-identified information to third parties to improve or promote our Services. No individuals can reasonably be identified or linked to any part of the information we share with third parties to improve or promote our Services.

  • Your information if required or permitted by law. We may disclose your information as required or permitted by law, or when we believe that disclosure is necessary to protect our rights, protect your safety or the safety of others, and/or to comply with a judicial proceeding, court order, subpoena, or other legal process served on us.

  • Your information if there’s a change in business ownership or structure. If ownership of all or substantially all of our business changes, or we undertake a corporate reorganization (including a merger or consolidation) or any other action or transfer between WizeHive entities, you expressly consent to WizeHive transferring your information to the new owner or successor entity so that we can continue providing our Services. If required, we will notify the applicable data protection agency in each jurisdiction of such a transfer in accordance with the notification procedures under applicable data protection laws.

  • Information you expressly consent to be shared. We may expressly request your permission to provide your contact details to third parties for various purposes, including to allow those third parties to contact you for references or other marketing purposes. (You may later revoke your permission, but if you wish to stop receiving communications from a third party to which we provided your information with your permission, you will need to contact that third party directly.)

4. What are your rights to your information?

You can:

  • Update your account details. You can update your registration and other account information on the Zengine platform by visiting the My Account page in your Zengine workspace. Information is updated immediately. You can also contact privacy@wizehive.com to update any data that we may have about you in our customer and other systems.

  • Access and correct your personal information.  As an account holder, you may access and correct certain personal information that WizeHive holds about you by visiting the My Account page. Some account holders and other individuals have certain legal rights to obtain information of whether we hold personal information about them, to access personal information we hold about them, and to obtain its correction, update, amendment or deletion in appropriate circumstances. For some information, these rights may be exercised through the My Account page mentioned above, and in all cases, requests to exercise these rights may be directed to privacy@wizehive.com. These rights are subject to some exceptions, such as where giving you access would have an unreasonable impact on the privacy of other individuals. We will respond to your request to exercise these rights within a reasonable time and, where required by law or where we deem it otherwise appropriate and practicable to do so, we will honor your request.

  • Download/backup your Program Data. We provide you with the ability to export, share and publish your Program Data in a variety of formats. This allows you to create your own backups or conduct offline data analysis.

  • Delete your data.  You can use our platform to delete Program Data. We may retain your deleted data for a period of up to 60 days in case you delete something by accident and need to restore it (which you can request by contacting support@wizehive.com). To the extent permitted by law, we will permanently delete your data after that 60 day period.  However, if your data was previously made available to the public through a public link, additional copies of your data may remain available on the Internet even after your account has been deleted.

  • Cancel your account. If your agreement with us expires or is terminated - or if you instruct us to cancel your account - your account will be promptly deactivated and the Program Data in the account will no longer be accessible.  However, Program Data will not be permanently deleted - in case you want to reactivate your account at a later date - unless required by your contract with us or if you provide us with a written instruction to permanently delete this data from our systems.  If a contract - or your written instruction - requires permanent deletion, all Program Data will be permanently deleted after 60 days, unless deletion is not technically feasible or such data is required to be retained by law (in which case we will block access to such data, if required by law).

This third party application is used to authenticate your identity and may also provide certain personal information - such as your name and email address  - to pre-populate your profile in our Services.

  • Safety of Children and COPPA. Our Services are not intended for and may not permissibly be used by individuals under the age of 13.

• Cancel your account. If your agreement with us expires or is terminated - or if you instruct us to cancel your account - your account will be promptly deactivated and the Program Data in the account will no longer be accessible.  However, Program Data will not be permanently deleted - in case you want to reactivate your account at a later date.

The Program Manager is typically identified on the application.

  • Are your responses anonymous? The Program Manager has determined with whom and under what circumstances your information may be shared. Please contact your Program Manager, which may have its own privacy policy.

  • We don’t sell your responses to third parties. WizeHive does not sell or share your data with third party advertisers or marketers; we merely act as a custodian on behalf of the Program Manager who controls your data.

  • If you think a Program violates our Terms of Service or may be engaging in illegal activity, contact support@wizehive.com to report it.

1. What information does WizeHive collect?

When you complete an application and other forms as a Program Participant in a Program hosted by WizeHive, we collect, on behalf of the Program Manager, information relating to you and your use of our Services from a variety of sources, listed below.

Information we collect directly from you

  • Application responses. We collect and store the application responses that you submit. The Program Manager is responsible for, and manages, this Program Data. An application may ask you to provide personal information. If you have any questions about an application you are taking, please contact the Program Manager directly as WizeHive is not responsible for the content of that application. The Program Manager is usually the same person or organization that invited you to complete the application and may have their own privacy policy.

Information we collect about you from other sources

  • Usage data. We collect usage data about you whenever you interact with our Services. This may include which web pages you visit, what you click on, when you performed those actions, and so on. Additionally, as with most websites today, our web servers keep log files that record data each time a device accesses those servers. The log files contain data about the nature of each access, including originating IP addresses, internet service providers, the files viewed on our site (e.g., HTML pages, graphics, etc.), operating system versions, and timestamps.

  • Device data. We collect data from the device and application you use to access our services, such as your IP address, operating system version, device type, system and performance information, and browser type. We may also infer your geographic location based on your IP address.

  • Referral data. We record information about the source that referred you to an application (e.g. a link on a website or in an email).

  • Your email address. Our Services collect your email address. We don’t use this to send you email except at the direction of a Program Manager. The emails we send on behalf of a Program Manager may appear to come from that Program Manager’s email address. If you no longer want to be contacted by the Program Manager, please directly send your request to the Program Manage

2. How does WizeHive use the information we collect?

Your application responses are owned and managed by the Program Manager, and we treat that information as private to the Program Manager (except if the Program Manager has made any Program Data available via a public link). We encourage you to review this document or request more information from the Program Manager to understand how the Program Manager may use your information. WizeHive does not sell your data to third parties or use Program Data to contact Program Participants.

We use the information we collect from you (including usage data, device data, referral data and information from page tags) to manage and improve our Services and for research  purposes. 4. What are your rights to your information?

Contact the Program Manager to access and correct your responses and personal information or if you have any questions about the application or if you want to access, update, or delete anything in your responses. We provide Program Managers with tools to maintain the responses they collect through their applications. Although you may contact privacy@wizehive.com to request access to the personal information we hold about you to view and to correct it, in most cases WizeHive cannot provide you with this access since Program Data is the Program Manager’s private information and giving you access may have an unreasonable impact on the privacy of other individuals.
