Adding People to a Workspace

There are two ways to share your workspace with others.  First, you can invite people through the People Window.  In this case you will likely have WizeHive send them an invitation to join the workspace.  Alternatively you can turn on a password for this workspace from the Manage Workspace link and then give your collaborators the name and password for the workspace you want to share.  They will then join using the "Join Workspace" feature at the top of the screen.

How do I invite people to a workspace?

Go to the desired workspace, select the people window, select "Add People," type in one or more email addresses in the window that opens, and follow the rest of the instructions.  Note that there are a few choices here you will be able to make.  First, you can invite someone to a workspace or just add them.  For instance, you may want to add someone to a workspace so you can assign tasks to them before you are ready to invite them.  In this case you can add them to the workspace but not invite them - and then invite them when you are ready.  Another choice you will have for those you want to invite is whether to have WizeHive send them an email or whether you will send them an email, using a link to the Workspace.  We suggest letting WizeHive send the email but there are times that WizeHive emails get stuck in spam filters so we give you the ability to send your own email and link.  Note that you can also have people join a workspace using the "Join Workspace" feature without having to invite them via email.

How do I ask someone to join a workspace?

Instead of inviting someone you can ask them to join the workspace.  You may want to do this if they are having problems getting your invitation (for instance if it is getting caught in a spam filter). In this case you will want to get a password for this workspace, which you can do by selecting the "Manage" workspace link from within a specific workspace (you can not be on the "ALL Workspace" tab).  From this tab you need to "turn on" a password for this workspace if it is not on and then copy or write down the password.  You can then tell the person you want to share the workspace with the name of the workspace and password.  They will then need to log into WizeHive and use the "Join Workspace" link to join your workspace.

How do I remove someone from my workspace?

You can remove someone or delete them from a workspace.  By removing them you eliminate their ability to access (log into) this workspace, but you leave them in the system.  Alternatively, you can delete them which removes them entirely from the system.  You would do either by moving to the People Window and then selecting the "actions" link.

Note that only an administrator can remove someone from a workspace.

How do I make someone an administrator?

You can only make someone who has joined the workspace (has accepted the invitation) an administrator.  To do this, go the desired workspace and select the people window.  Select the person and move to the "actions" link. Select Edit and you should see an administrator box.  Check it.  If you see their email address they have not joined the workspace yet and you can not make them an administrator.  Note that only a workspace owner or administrator can make someone else an administrator.

How do I remove administrator rights for someone?

Go to the desired workspace and select the people window.  Select the person and move to the "actions" link.  Select Edit and you should see the administrator box.  Uncheck it.  You must be the creator or owner of this workspace to do this.

How do I change someone's email address?

When you first enter someone into the workspace, you are able to enter their email address. You have the right to change that address until they accept and become a member of that workspace. From that point on you can no longer change their email address for the workspace.  Assuming they have not yet joined the workspace, go to the desired workspace and select the people window.  Select the person and move to the "actions" link.  Select Edit and you should see their email address.  You can change it here.

How do I reinvite someone?

Go to the desired workspace and select the people window.  Select the person and move to the "actions" link.  Select reinvite.
