What is in the Files window?

The Files Window provides access to the files that have been uploaded to or created in WizeHive.  Files that you have created off line (like spreadsheest, presentations, etc.) can be uploaded easily into WizeHive.  In addition, you can create new spreadsheet and documents using our online editors.

How do I upload a file?

You can upload files in two different ways.  First, you can upload a file from the Activity Screen as part of a note.  To do this, enter a new note and attach a file to the note.   Alternatively, you can upload one or more files from the Files window.  To do this click on "Add Files" and then "Upload Files" to get the process started.

Either way, you will then be able to select up to 50 files and upload them to WizeHive.

How do I create a file?

You can create document files (compatible with Word) and spreadsheet files (compatible with Excel) online through WizeHive.  To create a file select "Add file" from the menu, then pick one of the options to create a file.  Make sure once you are done creating the file that you remember to save it!

How do I view a file?

Select "actions" next to the file you want to view, then select "view" and our file viewer will open.

How do I move a file?

Select "actions" next to the file you want to move, then select "move/rename." This will give you the choice to pick a different workspace and/or page to store the file to.

How do I rename a file?

Select "actions" next to the file you want to move then select "move/rename".  To rename (rather than move) a file simply give it a new name and do not change the workspace or page.

How do I view notes associated with a file?

Select "actions" next to the file you want to view, then select "view notes".  From here you can view notes associated with the file and/or reply to the notes.

When should I create a file?

You can upload files or create files online in WizeHive.   When should you create one vs upload one?   If you have a file offline that you want to share so that people can view it, download it, etc., then you can use the upload feature.   If, on the other hand, you expect to have a document that people may want to collaboratively update and share or that may be updated by one or more people regularly, then it may be easier to create it online through WizeHive.  For instance, if you have a spreadsheet to track sales activity and statistics are added each day, you could easily use the online spreadsheet to handle this task.

Can I use the WizeHive editor to edit files I've uploaded?

Yes - most of the time.  The online word processor and spreadsheet are highly compatible with the desktop products from Microsoft and do a good job of reading those files.  But sometimes more complex documents (such as spreadsheets with graphics in them) lose their formatting.  Our suggestion is that if you are uploading a file and plan on keeping it online then you can edit it using our editor.  If you plan on downloading and editing within the desktop applications at some future time (Word or Excel) we would suggest using the native programs to edit so no incompatibilities are introduced.

How do I see files related just to a specific area?

If you are on the ALL workspaces tab, you will see all files in that workspace.  If you move to a specific workspace you will see all files for just that workspace.  If you move further down into one page (by selecting it form the dashboard on the right) you will see just files for that page.

How do I organize files?

Files can currently be organized by Workspace and/or page.   To save a file to a given workspace or page, fill in the workspace and/or page in the drop down box when uploading the file.  If you upload it to the wrong workspace and/or page, you can move it later.

What kind of files can I upload?

Any file type will be accepted.

Are there any size limitations to files?

Currently files are limited to 100MB per file.  There are also limitations on the total amount of storage space within the workspace.  Please check our pricing plans to see how much space you have for your workspace

How many files can I upload?

You are not limited to the number of files that you may upload.  However, there are limitations on the amount of total storage space.

File Versions

WizeHive will automatically track different versions of the same file.  When one file has the same name as a file already uploaded WizeHive will assume they are the same and track them together.  In this case you should see "x versions" after the name of the file.  If you click on this, all of the versions of the file will appear in a list below the most recent version.

Check out a file

Checking out a file flags that file so that others know you have downloaded the file and are working on it. To Checkout the file first download it then click on the actions link and click on Check Out. At that point a small red lock icon should appear by the file name. When you are done working on the file upload it and then click on the actions link and then Check In. Note that someone downloading the file may still download the file but they will get a warning that the file has been checked out before doing so.
